Each activity below is a separate processing record: its purpose, legal basis, the data involved, how long we keep it, and any processor acting on our behalf.
REC.01Newsletter
- PURPOSE
- Sending product news — new releases, benchmarks, and how teams run agents on their own hardware.
- LEGAL BASIS
- Consent. Subscription is double opt-in: we only add you after you confirm the link in the first email.
- DATA
- Email address, language, subscription status, consent source and version, and subscription, confirmation and unsubscribe timestamps.
- RETENTION
- Unsubscribing stops mail but does not automatically delete the database record. Purging unconfirmed subscriptions after 30 days requires a scheduled job. Retention of consent evidence and unsubscribed records must be set before activation.
- PROCESSOR
- Resend (email delivery).
REC.02Contact requests
- PURPOSE
- Reading and answering the messages you send through the contact form.
- LEGAL BASIS
- Legitimate interest in responding to a request you initiated.
- DATA
- The name, email address, and message content you choose to provide.
- RETENTION
- Kept for as long as needed to handle your request and any follow-up, then deleted.
- PROCESSOR
- Resend relays the message. A Discord notification can also be used if that integration is enabled; it must be disclosed before activation.
REC.03Assistant (if enabled)
- PURPOSE
- Measuring and improving the on-site assistant.
- LEGAL BASIS
- Legitimate interest in running and improving the service.
- DATA
- The code supports conversation messages, technical identifiers, language, timestamps, categories, token counts, latency and an IP-address hash. Engine configuration determines which data is actually retained.
- RETENTION
- The assistant is disabled for launch. Retention and deletion must be defined before enabling it.
- PROCESSOR
- The assistant runs on Optetron's self-hosted infrastructure.
ART.03Recipients and processors
We do not sell your data. A small number of processors handle it strictly on our instructions:
REC.04Resend
- ROLE
- Transactional and newsletter email delivery.
- LOCATION
- United States.
- TRANSFER SAFEGUARD
- Applicable safeguards (standard contractual clauses or an adequacy decision where applicable) must be verified in the provider contract before activation. Hosting in the United Kingdom does not guarantee the absence of other international transfers.
REC.05Cloudflare
- ROLE
- Turnstile bot protection on the contact and newsletter forms, when enabled.
- LOCATION
- United States (global network).
- TRANSFER SAFEGUARD
- Applicable safeguards (standard contractual clauses or an adequacy decision where applicable) must be verified in the provider contract before activation.
REC.06OVHcloud
- ROLE
- Server and PostgreSQL hosting, backups.
- LOCATION
- London, United Kingdom (OVH os-uk2). The United Kingdom is covered by a European Commission adequacy decision renewed in December 2025.
Under the GDPR you can, at any time:
- Accessask what personal data we hold about you and get a copy.
- Rectificationhave inaccurate or incomplete data corrected.
- Erasureask us to delete your data.
- Portabilityreceive the data you gave us in a portable, machine-readable format.
- Withdraw consentunsubscribe or withdraw consent at any time, without affecting processing already carried out.

You also have the right to lodge a complaint with the CNIL, the French data protection authority (www.cnil.fr). These rights apply under GDPR conditions; portability concerns automated processing based on consent or a contract.
ART.05Exercising your rights
To exercise any of these rights, or for any question about your data, write to us at contact@optetron.com.
We normally respond within one month. For complex or numerous requests, this may be extended by two months, with notice within the first month. Proportionate identity verification may be requested if there is reasonable doubt.
ART.06Cookies and local storage
The NEXT_LOCALE cookie remembers language. If enabled, the assistant uses chat:v3 local storage for a technical identifier and recent messages; messages are not restored on reload. This local storage currently has no automatic expiry.
Cloudflare Turnstile, when configured, processes technical information for security and abuse prevention. This launch does not enable advertising or audience-measurement tools. Nonessential trackers must remain blocked until consent; refusing and withdrawing consent must be as easy as accepting.
ART.07Required data and automated decisions
Email is needed for newsletter delivery and replies to contact requests. Without it, those services cannot be provided. Do not submit sensitive data in forms or the assistant. No automated decisions with legal or similarly significant effects are planned.
ART.08Payments and future changes
Purchases and guide delivery are not yet enabled. Before activation, this policy will be updated to disclose Stripe, file delivery and statutory retention of transaction data.
